Admin Options - RO List

RO List Settings

The RO List controls the layout of the main screen in EDGE and also provides an area to create training repair orders.

ROListColumnDefaults

Classic RO List Column Layout - Displays the following columns:

  • Check
  • Status
  • Last Report Printed or Emailed
  • RO #
  • Customer
  • Year
  • Make
  • Model
  • Odometer
  • Advisor
  • Inspected by
  • Shop Notes indicator
  • RO creation date

When RO List Column Defaults preference is changed to Classic, the RO List is reset and row highlighting for ROs with recommendations is turned on. To deactivate this, each user must take the following steps:

  1. From EDGE, click Tools, User Preferences and click on the Notification tab.
  2. Select the check boxes in the Highlight on RO List column to set your preferences.
  3. Click OK to save.

When the RO List Column Defaults preference is changed to Standard, the Shop Flag 1 column must be added using the Column Chooser functionality.

EDGE lets you create repair orders that are not tied back to the DMS that can be used for training purposes. To create a training RO, take the following steps:

  1. From EDGE, click Tools, Admin Options and click on the RO List tab.
  2. Click Manage Training ROs to display the Repair Order window.
  3. Make sure you have the New/Edit tab selected at the top.
  4. Complete at least the required information using the guide below.

RO# - Key in a repair order number.

Tag# - Key in a number that can be used to search for the repair order in the RO List.

Customer Information - Enter as much information as desired. Only last name is required.

Vehicle Information - Enter at least the required vehicle fields.

RO Line Item - Enter a description for the original customer concern. Click Add to put it in the list to the right. You can add as many lines as you need.

Bind Package - Check this box to enable the Shop Package dropdown box to select an inspection package to be bound to the line you are adding

Shop Package - Select an inspection package from this list after checking the Bind Package checkbox. This pulls from the list of inspection packages defined in your company.

OEM Package - Select a maintenance package from this list after checking the Bind Package checkbox. This pulls from the list of maintenance packages defined in your company.

Advisor - Select which advisor you want to associate with the training RO.

Remove - To remove an RO Line Item from the list, highlight it and click the Remove button.

Save - Click this to create the training RO.

Generate Multiple Training ROs - When this preference is checked, the RO# and Tag# fields on the top left are locked out so that the system can generate a batch or ROs. To create just one training RO, you can uncheck this preference and key in the RO# and Tag#.

To create a single training RO, uncheck this box.

TRAIN- Key in a number here as the starting sequence for a batch of ROs that will have numbers beginning with the string "TRAIN-" and ending with the sequence of numbers you specify. For example, if you key in 1000 and request 10 ROs be created, the RO#'s generated will be TRAIN-1000, TRAIN-1001, TRAIN-1002, etc.

Tag - Leave this blank or key in a number to be used as the tag number on the RO. This tag number will be used for each RO in the batch.

Create this many - Select the number of ROs you want to be created in the batch.

Import - For advanced users, you can import a .csv file or repair order data. The repair order data must be in the correct file layout. You can export a batch of ROs to see the file layout.

Prompt before creating - check this box to receive a pop up window asking whether to create each repair order when importing a list of ROs from a batch.

Important: there are known issues with the Import function that may make manual entry preferable. To import a .csv file, take the following steps:

  1. From EDGE, click Tools, Admin Options and select the RO List tab.
  2. Check the box by Generate Multiple Training ROs.
  3. Key in your starting RO number in the TRAIN- field and add a Tag# if desired.
  4. Set Create this many to 1.
  5. Click Import to browse for the file.
  6. Select the file and wait for the Apply - Creating Training ROs button to become active at the bottom and then click it.
  7. Click Close, when the process is complete.

Export - For advanced users, use the Export function to see the file layout used for importing repair orders. Only exports one repair order to the file. To export a repair order to a file, take the following steps:

  1. From EDGE, click Tools, Admin Options and select the RO List tab.
  2. Check the box by Generate Multiple Training ROs.
  3. Complete all required fields as indicated by the red asterisks to make the Export button active.
  4. Click Export and browse to the location you want to save the file to.
  5. Name the file in the Windows File name: field and click Save.
  6. Click Close to return to EDGE.

Training RO List

Use the training RO List screen to clean up or copy existing training repair orders.

To delete existing training ROs, take the following steps:

  1. From EDGE, click Tools, Admin Options and select the RO List tab.
  2. Click the Training RO List tab at the top.
  3. Locate the ROs in the list that you want to delete and click on them to highlight.
    • You can hold down the Control key to select multiple ROs in the list.
  4. Click Delete and Yes to delete the repair orders.

To copy training ROs, take the following steps:

  1. From EDGE, click Tools, Admin Options and select the RO List tab.
  2. Click the Training RO List tab at the top.
  3. Locate the RO in the list you want to copy and click on it to highlight it.
  4. Click Copyand complete the Training RO Copier window.
    • TRAIN- enter the starting RO number you want to use.
    • Tag: enter the starting tag# you want to use.
    • Copies: set the number of copies you want to create.
  5. Click OK to make the copies.
